Built for field-service teams

Equipment tracking your crews will actually use.

Photograph a pile of gear and FieldVault files it for you — names, brands, models, serials, even the asset tag. Then track every tool, kit, and asset across every crew and job site. Minimal setup. Real‑time visibility. Priced so you can actually afford to roll it out company‑wide.

Photo recognition

Stop typing your inventory. Photograph it.

The slowest part of any inventory system is the first day — typing hundreds of items into a form. Point a camera at the shelf, the truck bed, or the job trailer instead, and FieldVault reads what's in the shot.

STEP 01

Snap up to four photos

A shelf, a pile, a truck bed — whatever's in front of you, straight from your phone. Multiple angles of the same gear work too; FieldVault combines them instead of double‑counting.

STEP 02

AI identifies every item

Name, brand, model, category, and condition for each piece it finds — and it reads the small print: asset tags, serial numbers, and model plates, straight off the photo.

STEP 03

Review, then add

Everything lands in a review queue, so nothing enters your inventory unchecked. Fix a guess, add another angle to sharpen it, drop what you don't want — then add the rest in one click, photo attached.

The real problem

Lost tools. Disputed check‑outs. Spreadsheet chaos.

01

You don't actually know what you own

Gear scattered across trucks, warehouses, and job sites. The spreadsheet hasn't been right in three years. Every audit is a guess.

02

Check‑outs end in finger‑pointing

"I never had that drill." No paper trail, no accountability, and you're the one buying a replacement out of next month's margin.

03

The "real" software is too much

Enterprise asset platforms cost a fortune, take months to implement, and require a specialist to run. Your crews won't touch them.

04

Shrinkage is quiet, constant, and expensive

A missing nail gun here. A "borrowed" ladder there. Over a year, it's tens of thousands of dollars you'll never see again.

What ships today

Everything you need. Nothing you don't.

A focused set of tools built for how field crews actually work — not how warehouse software thinks they should.

Gear inventory

Every item, with photos, serial numbers, purchase info, documents, and condition — in one searchable place. Personal or company‑owned.

Check‑outs, repairs & transfers

One action handles all three. Flag overdue items. Log condition on return. Full audit trail — no more "I never had that."

Insurance schedule

One click turns your inventory into a dated schedule PDF — photos, serials, asset tags, condition, purchase and replacement values, with totals. The document your insurer asks for, without the spreadsheet weekend.

Jobs & assignments

Tie every check‑out to a job, client, or project. Know exactly what's on which site, with which crew, and when it's due back.

Crew & roles

Four‑tier access — owner, admin, manager, viewer. Your apprentice can log items without seeing the finances.

Sites & locations

Permanent, mobile, and temporary sites. Set a home base per ownership type — anything elsewhere shows as checked out, automatically.

Warranty tracking

Record the coverage term against the purchase date and FieldVault does the maths. Expiring and expired gear is flagged before the claim window closes, not after.

Reports & export

Utilization, overdue check‑outs, and a value summary out of the box — plus a filter‑aware Excel workbook with full inventory, insurance totals, and kit packing lists.

Bulk entry & import

Spreadsheet‑style grid for adding 50 items at once. Import from XLSX. Export to Excel or JSON anytime — your data is yours.

Kits & bundles

Group items into job‑ready kits — roof tear‑off, camera B‑roll, landscape prep. Check the whole kit out in one action.

Your data, your control

Row‑level security, encrypted at rest, exportable anytime. We don't resell, mine, or train on your data. Period.

Microsoft sign‑in, no setup

One email field. If it's on Microsoft Entra ID (formerly Azure AD), you're routed straight into SSO — otherwise a magic link lands in your inbox. No passwords, no enterprise sales call.

How it works

From signup to tracking in ten minutes.

No implementation consultants. No multi‑week onboarding. You're three steps away from knowing where your gear is.

STEP 01

Create your workspace

Sign up with Microsoft or email. Name your organization. Pick an industry preset — roofing, construction, AV, landscaping, carpentry, or start blank. Done.

STEP 02

Load your gear

Photograph a pile and let AI file it, add items one at a time, or paste fifty rows into the bulk grid. Import from the spreadsheet you've been nursing for years. We keep the serials straight.

STEP 03

Invite your crew

Add team members by email with the right role. Everyone checks items in and out from their phone. You see everything, in real time, from anywhere.

Questions

Frequently asked.

How long does setup actually take?
For most teams, under ten minutes to get signed in, invite a couple of crew members, and log the first few items. Bulk‑importing a full inventory from a spreadsheet usually takes an afternoon.
Who owns our data?
You do. Your data is encrypted at rest, isolated by row‑level security, and never used for training, advertising, or resold in any form. Export to Excel or JSON from Settings at any time — no tickets, no gatekeeping.
Can I sign in with Microsoft?
Yes, automatically. There's no password field to set up — enter your work email and if it's backed by Microsoft Entra ID (formerly Azure AD), you're sent straight into Microsoft's sign-in. Everyone else gets a one-time magic link by email instead. SSO isn't gated behind an enterprise tier.
What sizes of team is this built for?
FieldVault is designed for field‑service companies managing anywhere from dozens to thousands of assets across multiple crews and sites. If you've got a warehouse full of valuable gear moving between jobs every day, you're our target customer.
How does FieldVault handle roles and permissions?
Four tiers: owner, admin, manager, viewer. Admins configure categories and locations; managers can add and check out company gear; viewers have read‑only access. Every user can also manage their own personal gear independently.
Can I import from my existing spreadsheet?
Yes. Import from XLSX or paste rows directly into the bulk‑entry grid. Our team can also help migrate larger inventories — email hello@fieldvault.app and we'll get on a call.
Who's behind FieldVault?
FieldVault is built and supported by Dignetix Ltd, a Michigan‑based managed technology services firm. Which is to say: real engineers, real support people, real phone numbers.
What does it cost?
Business plans are $29 to $329 a month billed yearly — one flat price for the whole account, not per user. Which one you need depends on how many people sign in and how many workspaces you run; assets and crew are unlimited on all of them, and you're never billed per item. Mid‑market is quoted. There are personal plans too, starting free. See the full breakdown. Founding customers keep early‑access pricing.
